Privacy Policy
The Loran Scholars Foundation (the “Foundation”, “we”, “us” or “our”) is committed to maintaining the accuracy, security and privacy of the personal information it collects uses and discloses in accordance with applicable legislation. This privacy policy (the “Privacy Policy”) describes our collection, use and disclosure of the personal information of our scholarship applicants, award recipients, donors, volunteers, service providers, parents/guardians of applicants, and other individuals (“you” or “your”).
By submitting personal information to the Foundation or otherwise interacting with us, you consent to the collection, use, and disclosure of such personal information in accordance with this Privacy Policy. You may withdraw your consent at any time. (See Section 5, “Your privacy options”, below for more information.)
Who we are
The Loran Scholars Foundation is committed to the greatest of Canada’s natural resources: our youth. We identify and support talented students who show promise of leadership and a strong commitment to service in the community. We fund these citizens to study on Canadian campuses, to the benefit of their future and ours.
Types of personal information we collect
”Personal information” means information about an individual that allows them to be identified. The types of personal information that we may collect from you depends on your relationship with us, and what information to choose to provide. We collect most of this information directly from you when you submit your application to us and/or enter your information into our websites (the “Sites”), or as otherwise described below. This information includes:
- Contact information. This includes your name, address, phone number and email.
- Education information. If you are a scholarship applicant and recipient, we collect information about your educational institution, current and planned studies, academic performance, and educational status.
- Health information. If you are a scholarship applicant or recipient, we may collect information about any medical conditions, dietary restrictions, or similar information that is relevant to enabling your participation in the application process or Loran Scholar programs.
- Résumé and background information. We collect information about your background, including your work and educational history, if you apply for a scholarship, or an employment, contractor or volunteer position.
- Other scholarship information. We collect information included in scholarship application packages, or provided to us in interviews or Loran-related events and programs. In addition to contact, education, résumé and background, and health information, it includes the applicant’s social insurance number and photo. As well:
—Applicants may also choose to include demographic information, such as their racial or ethnic origin, gender, religion, or if they have a disability. Providing this information is entirely optional. If you choose to provide this information, it will only be used for statistical purposes (such as measuring our progress in our pursuit of our diversity objectives) and will not be tied back to you. It is never used to make selection decisions.
—Application packages also include contact information about the applicant’s parents or guardians, as well as information about references that the applicant has included.
- Financial information. We collect limited financial information, such as information about your credit card if you donate to us or if you pay us a registration fee for an event. We collect banking information from scholarship recipients to disburse funds. Scholarship recipients can also voluntarily provide high-level information about their financial situation in connection with certain services we offer based on financial need.
- Images or recordings. This includes images or recordings you may choose to provide to us, or that may be taken during an event or program that we host or operate. During the selection process, we may also ask you to participate in a video submission which is used only for selection purposes and not kept by us after the process is completed.
- Online interactions. We may collect your information about your interactions with us online, including over social media or on the Sites. This also includes any information you submit to us through the Sites. Our website uses cookies and other web analytics tools to collect this information. See Section 9, “Privacy and our Sites”, below for more information.
- Feedback, preferences, and opinions. We may collect information you provide us when you respond to our surveys, fill out an evaluation, provide an opinion, or indicate your communication preferences to us.
Note that we do not knowingly collect the personal information of individuals under the age of 14 without consent of a parent or guardian. If you become aware of such a case, please contact us immediately.
Why we collect and use personal information
We collect and use your personal information to:
- Communicate with you, including to respond to your questions and requests, update you about the Foundation and our events, communicate with you about the program, and solicit your feedback, opinions, and support.
- Operate the Loran Scholar application process, including to confirm your eligibility for an award, assess your application, and plan and coordinate our interview and evaluation processes.
- Operate the Loran Scholar programs, including coordinating the experiences, events and other aspects of our programs, creating new services, and developing new programs.
- Operate the Foundation, including raising awareness about the Foundation, and operating our websites.
- Foster the Loran network, including building the network, keeping updated with alumni, creating personal and professional network opportunities for its members and our Scholars, aligning networking initiatives with your interests, facilitating dialogue amongst members, and operating a networking platform.
- Personalize your experience, including using the information you enter into the Sites to understand more about member and community interests and to provide you with personalized tools and content.
- Conduct internal analytics and research for the purpose of improving the Foundation, how we operate, how we communicate with you, the decisions we make about programming and outreach, and how we advance our mission. We may also use aggregated or statistical information to develop new programs that are relevant and useful to you or to improve our existing programs.
- Assess other applications, including those for job, volunteer, and contract positions with the Foundation.
- Process transactions and receive donations, including to provide donors with tax receipts and proper acknowledgment.
- Protect the Foundation and others, which includes detecting and investigating potential breaches of contract or our policies, fraud, theft, and other misconduct or illegal activity. It also includes complying with legal obligations and protecting the Foundation’s property, rights, and interests.
We will never use any personal health information we collect from you for any purposes that are not necessary to provide you with the services.
Sharing your information
We may share or disclose your personal information to third parties as follows:
- Sharing with service providers. We may transfer your personal information to other companies and organizations that provide services on our behalf, including label printers, delivery contractors, event and program hosts, auditors, professional advisors, software developers (including website developers and hosts), and other IT service providers who help us operate and protect our IT assets. We may also share your personal information with organizations hired by the Foundation to conduct research on our behalf into our activities and objectives, or that assist us with the applications and selection process. We may also share limited information with third party service providers that assist us with the applications and selections process. We will only provide these organizations with the information they need to deliver the service and they are prohibited from using that information for any other purpose.
- Disclosure to educational institutions. We may disclose personal information to educational institutions of our applicants and award recipients to administer the scholarship program on a need-to-know basis from time to time.
- Disclosure for purpose of promotion. We may disclose your personal information to media relations companies and journalists to help promote the Foundation and its award recipients.
- Disclosure to law enforcement and legal obligations. The Foundation may disclose your personal information to meet legal obligations (such as compliance with court rules, orders or other legal requirements) or in response to a legitimate request from a regulatory, governmental or law enforcement authority that we have determined is legitimate. We may also disclose personal information where the Foundation has reasonable grounds to believe the information could be useful in the investigation of unlawful activity.
Your privacy options
At the Foundation, we want you to be able to maintain control over how we use your personal information. In particular, you have the following rights with respect to the personal information we maintain about you subject to some practical and legal limitations:
- You always have the right to ask questions and share your concerns about this Policy or our personal information handling practices by contacting our Privacy Officer.
- You have the right to opt out of receiving promotional e-mail communications at any time after opting in. E-mail communications for promotional or marketing purposes will always include an identification of the sender and an “Unsubscribe” option.
- You have the right to access and rectify your personal information that we have on file (see Section 6, “How can you access or update your personal information?”, below for more information).
- You may refuse or withdraw your consent to the collection, use and/or disclosure of your personal information for some or all of the purposes, uses and disclosures identified in this Privacy Policy at any time by contacting us. If you withdraw your consent for those purposes that are required to administer our awards and programs, you may not be eligible to participate in the scholarship programs and receive awards, and we may not be able to provide you or continue to provide you with our services or information that may be of value to you.

How can you access or update your personal information?
You may request access to your personal information by contacting our Privacy Officer in writing. Upon written request, subject to certain exceptions, the Foundation will inform you of the existence, use, and disclosure of your personal information and will give you access to that information. Access requests should be sent to our Privacy Officer, using the contact information in Section 11, “Contact Us”, below.
Applicants can directly access and update the personal information they submit as part of their application to the Sites, before applications are submitted. Otherwise, to access or update or correct any personal information that we may have on file for you, please e-mail a request to us at info@loranscholar.ca.
How do we protect your personal information?
We make every reasonable effort to protect against the loss, misuse, and alteration of personal information under our control. We maintain appropriate physical, technical, and administrative safeguards to protect your personal information, and our security policies are periodically reviewed and enhanced as necessary. More specifically:
- Only authorized employees, assessors and suppliers have access to your personal information, including any information you may enter into the Sites.
- Where information is sent to a third party for processing, we make sure, through our contracts with them, that all customer information is kept secure.
- We operate secure data networks protected by industry standard technologies including firewall and password protection systems.
- We have developed, comply with, and regularly review and update internal privacy policies and procedures to protect personal information; respond to privacy questions, complaints or breaches; and destroy information that we no longer require for the purposes described in this Policy.
Cookies and Web Analytics
We may use cookies, web beacons, pixels, and other similar data collection technologies on the Sites to collect certain information about your device and your browsing patterns. A cookie is a small element of data that the Sites can store through your web browser on your computer or other device during your visit to the Sites, which can then be recognized when you return to the Site. We use cookies to personalize and improve your experience using the Site and to save any information so that you do not need to re-enter it while using the Site.
The information we collect in this way includes:
- Details of your visits to the Sites, including which pages you visit and for how long, and which features you interact with
- Information about the device you use to access the Sites, including your IP address and browser type
We use the information we gather using cookies to analyze trends, administer the Sites, track users’ movements around the Sites, and to gather demographic information about our user base as a whole in order to provide better services through the Sites.
You can adjust your browser settings to prevent cookies from being stored on your browser or your device, or to prevent them from being used to track your browsing activity. While the Sites will respect your browser settings, we are not able to disable cookies on your devices ourselves. As well, if you disable certain cookies, some features and functionalities of the Sites may no longer be available to you. Where required by applicable law, we will not activate cookies used for profiling without your consent.
We also use Google Analytics on the Sites to provide us with analytics about how you engage with our websites and ads. Suggested text: If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Storage, Retention and Destruction of your Personal Information
We will only retain your personal information for as long as necessary to fulfill the purposes for which it was collected, or as long as is required by applicable law. Once we no longer need the information or once we are no longer legally required to retain it, we will anonymize or destroy the information.
Some of your information may be transferred to or stored in jurisdictions outside your home province or Canada, including in the United States, and your personal information may be collected, used, disclosed, stored and processed in such foreign jurisdiction(s) for the purposes described in this Privacy Policy. While outside of Canada, personal information may be subject to lawful access by foreign regulatory, government, national security or law enforcement authorities. When your personal information is transferred to a different jurisdiction, we will take steps to protect your information in accordance with applicable data protection laws and this Privacy Policy.
Changes to the Privacy Policy
The Foundation reserves the right to modify or supplement this Privacy Policy at any time. We will post the current version on our Sites. We will notify you of material updates to this Privacy Policy, and obtain any consents that are required by law.
